About Inside

What is Inside?

Inside is a Singapore-built workforce operating system for hospitality and other shift-based teams. It connects labour demand, scheduling, casual and agency staffing, attendance, timesheets and payroll so managers and payroll teams work from the same shift record.

What is a shift workforce OS?

It's one system that manages the whole life of a shift: the demand that creates it, the roster, the person who works it, attendance, the confirmed timesheet and the pay or agency invoice. Traditional HR systems start from employee records. A shift workforce OS starts from the work.

Is Inside built for hotels and F&B groups?

Yes. Inside was designed with hotel and F&B operators in Singapore. It handles departments, outlets, split shifts, casual peaks, banquets and staff shared between outlets.

Is Inside only for hospitality?

Hospitality is where Inside was built and proven. The same shift-to-pay model works for retail, facilities, events, childcare and care teams that run rosters.

Can it handle several outlets?

Yes. Each outlet keeps its own roster, policies and access, while group teams see across outlets. Trained staff can be borrowed between linked outlets.

How is Inside different from a rostering app?

A rostering app stops at the published schedule. Inside carries the shift through cover, attendance, timesheets and pay, including casual and agency staff.

Getting started

What modules are included?

Labour demand and coverage, scheduling, casual and agency staffing, attendance and timesheets, requests and approvals, employee records and leave, Singapore payroll with claims and allowances, reports and exports. Your setup is configured around the modules you use.

Can we start with one module?

Yes. Many teams start with scheduling and attendance for one department or outlet, then add casuals, agencies and payroll.

Do we need to replace our HR system?

No. Inside can work alongside it. Employee data can be imported, and timesheets or rosters can be exported to the systems you keep.

Which systems does Inside connect to?

Inside exports standard xlsx and csv files that most HR, payroll and finance systems can import, including a Timesoft duty roster format. Tell us what you use and we'll map the format.

Scheduling

Does Smart Fill publish the roster automatically?

No. Smart Fill creates a draft of open slots. Managers review, adjust and publish.

What rules does Smart Fill follow?

Role eligibility, approved leave, employment-type minimum and maximum hours, minimum rest between shifts and the options you switch on, such as balancing hours, role priority, keeping teams together, allowing overtime or off-day work and one shift per day.

Is Smart Fill AI?

Smart Fill is rules-based automation that uses your settings. It never publishes without a manager.

Can staff work across outlets?

Yes. Trained staff can be borrowed from linked outlets, and their hours stay attached to the outlet they worked at.

Attendance and timesheets

How do staff clock in?

In the Inside app on their phone. Casual workers use their day pass, and managers can scan them in by QR. On-site QR or NFC clocking can be set up for locations that need it.

What is Auto-Match?

Auto-Match compares each clock-in and clock-out with the scheduled shift. If the difference is inside your variance tolerance, the time is matched to the plan. If not, it's flagged for review.

What if someone forgets to clock out?

The missing clock-out is flagged. The staff member can request a time correction in the app, or the manager can adjust it.

Casual and agency staff

Can Inside manage casual and agency staff?

Yes. Casual workers use the Inside casual app to accept offers, get a day pass and clock in. Agencies receive approved requests through the Agency Portal and assign their own workers. Casual hours flow into casual pay; agency hours flow into billing.

Can several agencies see the same request?

Yes. You choose whether a request is open to all your agencies, reserved for one for a period, or exclusive to one agency.

How are casual workers paid?

Internal casuals' confirmed hours flow into casual pay in Inside. Agency workers' hours flow into the agency's billing instead.

Payroll

Does Inside run payroll?

Yes, for Singapore. Pay runs are built from confirmed timesheets, with CPF, SDL and SHG calculated in the run. Inside can also export timesheets to your existing payroll system.

Does Inside calculate CPF?

Yes. CPF, SDL and SHG are calculated in each Singapore pay run.

Which countries does Inside Payroll support?

Singapore.

How are claims paid?

Staff submit claims with proof in the Inside app. Once approved, they're added to the next pay run.

Inside app

Do staff need a computer?

No. Staff use the Inside app on their phone for schedules, clocking, requests, claims and payslips. Managers use the web Management Portal and can approve requests from the app.

Can staff pick up extra shifts?

Yes. Open shifts they're eligible for appear in the app. When a roster is published, any unassigned slot is offered to eligible team members.

Can managers approve requests from the app?

Yes. Approvals appear under Action Required.

Can staff see their payslips?

Yes, once the pay run is finalised.
